Board of Directors Meeting DRAFT MINUTES
February 17, 2004

Attending:   Laura Blain, Melissa Cobb-Grzella, Sandie Benjamin, Pastor Rick Stackhouse, Shari Whipple, Cathy Cook, Tammy Vanderpool and Rose Marie Grzincic

A special meeting was called to discuss the issue of the building rental and fees. The meeting was called to order at 7:00 PM

Minutes:   A Melissa Cobb-Grzella/RoseMarie Grzincic motion was passed to accept the minutes for January 13, 2004.

Treasurer's Report:   Since this was a special meeting, there was no Treasurer's Report.

Previous/Unfinished Business:  

Audit:   Nothing to report.

Maintenance:    Pastor Rick reported that he changed the filter in the furnace on February7, 2004. He also stated that he was cleaning it every other week and replacing it the alternate weeks.

Board Vacancy:    A Melissa Cobb-Grzella/Tammy Vanderpool motion was passed to appoint David Benjamin to the Board of Directors. Sandie Benjamin abstained.

Valentine's Dance:   Mellissa, Tammy and Sandie reported that the Valentine's Dance was a success with approximately 42 teens attending. Plans are being made to have a St. Patrick's Dance on March 20, 2004.

Emergency Escape Plan:   Sandie had spoken to Mrs. Stadelmaier, the principal at the Sheshequin-Ulster Elementary School, about using the school as an emergency evacuation site for the Rec Center. Mrs. Stadelmaier said that she would need a letter from the Rec Board stating our intentions. Melissa and Sandie agreed that they would draft a letter.

New Business:  

Building Rental and Fees:   There was a discussion concerning the rental of the Rec Center building and what fees should be charged accordingly. It was agreed that the children's birthday parties would remain at the current rates of $15/hr plus $5 DJ for Ulster-Sheshequin residents and $30/hr plus $5 for non-Ulster-Sheshequin residents with a two hour minimum rental. It was further agreed that Volunteer Lead Recreation would remain at the same rates of N/C for Sheshequin-Ulster residents and $30/hr for non-Ulster Sheshequin residents and that non-profit community group meetings (ie: scouts/church youth groups) would remain at N/C for Sheshequin-Ulster residents and $30/hr for non-Ulster-Sheshequin residents. A RoseMarie Grzincic/Cathy Cook motion was passed to accept the new fees for Adult Functions (ie: adult birthday parties or wedding receptions) of $30/hr for Sheshequin-Ulster residents and $40/hr for non-Sheshequin/Ulster residents with a $100 refundable security deposit.
  Sandie agreed to prepare a Building Use Agreement and to e-mail it to the Board for their approval.
  Tammy was asked to contact the Rec Center's insurance company concerning the liability if we allow the Rec Center to be rented.

A Rosemarie Grzincic/Melissa Cobb-Grzella motion was passed to adjourn at 8:40 PM.

Next meeting date will be March 9, 2004 at 7:00 PM.
